Most wedding reception run of show documents fail for the same reason: they are written as a wish rather than a plan. Every segment gets exactly the time it would take if nothing went wrong, and nothing ever goes exactly right. The timeline below is built the way I build them for Atlanta receptions, with the buffers that keep an evening intact when a speech runs long or the kitchen needs another ten minutes.

Adjust the clock times to your own start. What matters is the shape, the ordering logic, and the padding.

A Five Hour Reception Timeline

• 5:00pm, cocktail hour opens. Host and DJ confirm audio, review any changes
• 6:00pm, guests invited to be seated. This takes ten minutes longer than you think
• 6:15pm, wedding party and couple introductions
• 6:25pm, welcome and blessing or opening remarks
• 6:35pm, first course served
• 7:05pm, first round of speeches, two maximum
• 7:25pm, main course served
• 8:00pm, remaining speeches, two maximum
• 8:20pm, first dance, then parent dances
• 8:35pm, cake cutting
• 8:45pm, dance floor opens
• 9:45pm, bouquet or garter, if included
• 10:00pm, last dance and send off

The Buffers Most Timelines Omit

Seating guests takes longer than the plan says

Moving a hundred and fifty people from a cocktail area to assigned tables reliably takes fifteen to twenty minutes, not five. Build it in or every subsequent item starts late.

Speeches expand

Allow five minutes per speaker, then assume seven. Splitting speeches across two courses rather than stacking four together is the single most effective structural fix in wedding timelines. It gives the kitchen room and keeps guests from sitting through twenty five unbroken minutes of talking.

Photographs of the formalities need transition time

Your photographer needs to reposition between the first dance, the parent dances and the cake. Thirty seconds of deliberate transition, handled from the microphone, produces better images than everyone rushing.

Ordering Logic That Prevents Problems

• Put the longest speech before a course, never after the last one
• Keep cake cutting close to the dance floor opening so guests do not disperse
• Do not schedule anything important immediately after the bar reopens
• Give the couple ten minutes somewhere in the middle that belongs to them
• Agree in advance who decides if the timeline needs to compress

Who Owns the Timeline on the Night

A run of show is a document until someone takes responsibility for it live. Your planner manages the event as a whole; the host manages the program in front of guests. Ceremonies and receptions that blend traditions need more padding, not less, because segments are less predictable and often involve family participation that cannot be rushed.
